    The Surgical Coordinator coordinates and facilitates pre-surgical testing and clearance; books surgical procedures at hospitals and ambulatory surgi-centers; obtains insurance pre-authorization; facilitates communication with patients, providers, and surgical facility. The overall goal is to streamline and standardize the processes for bringing a patient to surgery and to ensure that all necessary visits, tests, authorizations, documentation, and OR scheduling are completed in a timely and efficient manner.


    • Receives electronic ACP Pre-Surgery Communication in Epic In-Basket from the surgeon.
    • Obtains necessary pre-authorization for surgical procedure.
    • Communicates with hospital and/or surgi-center to schedule surgery as decided by surgeon and patient.
    • Completes and faxes OR booking form or books OR electronically, as per hospital requirements.
    • Enters appointment for surgical procedure into Epic under ACP Off-Site Surgery.
    • Transcribes lab and other pre-testing orders from ACP Pre-Surgery Communication in Orders Only Encounter and pends to PCP.
    • Sends task message informing PCP of upcoming clearance appointment for patient.
    • Contacts patient to schedule required testing and clearance appointments:
      • Schedules appts with PCP and other specialty clearance appointments as indicated.
      • Schedules requested labs, EKG, and chest x-ray to be completed 1 week prior to PCP visit.
    • Instructs patient about arrival at surgical facility and answers general (non-clinical) questions from patient.
    • Provides educational handouts/information packets as well as written instructions to patient.
    • Serves as liaison and facilitates communications between patient, providers, and surgical facility.
    • Reviews the EMR chart prior to scheduled procedure to confirm all necessary pre-testing and documentation has been completed.
    • Contacts patient if any testing is missing and facilitates with patient to complete.
    • Once patient is cleared by PCP, completes comprehensive checklist of essential documents and faxes to surgical facility as required.
    • If PCP does not clear patient for surgery, communicates with surgeon for subsequent instructions.
    • Confirms OR booking and receipt of required documents with surgical facility 1-2 days prior to scheduled procedure
      • Notifies surgeon of any change in bookings.

    • Changes appointment status in Epic after procedure is performed.
      • Documents cancellations or no-show appointments.
      • Follows up with patient concerning any appointment not kept.
    • Contacts patient following outpatient procedure to check how patient is feeling (courtesy call).
      • Reviews instructions for contacting surgeon by telephone for post-op concerns or complaints.
      • Schedules post-op visit with surgeon, if not already scheduled prior to procedure.
    • Receives copy of operative notes from surgeon and scans to PB for coding/billing.




    • High School Diploma or GED
    • Two (2) years minimum experience working in a medical office preferably in a surgical or procedural area
    • Basic computer skills and ability to work in EMR.



    • AAS degree or higher Preferred
